YOUR INFORMATION

PRIVACY POLICY

Last updated: August 2026

The Console Room respects your privacy and is committed to looking after the personal information you provide to us.

This Privacy Policy explains what information we may collect, why we use it, who it may be shared with, how long we keep it, and the choices and rights you have regarding your personal data.

YOUR PRIVACY AT A GLANCE

01

WE ONLY ASK FOR WHAT WE NEED

We collect information needed to manage your booking, answer enquiries or prepare a merchandise pre-order.

02

WE DON'T SELL YOUR DETAILS

We do not sell or rent your personal information to other organisations.

03

NO AUTOMATIC MARKETING LISTS

Booking or contacting us does not automatically add you to a marketing mailing list.

04

YOU HAVE RIGHTS

You can ask us about the personal information we hold about you and exercise your data-protection rights.

01

WHO WE ARE

This Privacy Policy applies to The Console Room, an independently operated visitor experience based in South Kyme, Lincolnshire.

For the purposes of UK data-protection law, The Console Room is responsible for the personal information that it collects and uses directly.

You can contact us about privacy matters at:

theconsoleroom1@gmail.com

02

INFORMATION WE MAY COLLECT

Depending on how you interact with The Console Room, we may collect information such as:

Your name, email address, telephone number where provided, booking details, visit date and time, number of guests, messages or enquiries you send to us, merchandise pre-order details and your preferred method of payment for collection orders.

We may also receive technical information connected with use of the website, such as an IP address, browser or device information, where this is collected by our website hosting, embedded services or security systems.

We aim to collect only the personal information that is reasonably necessary for the purpose for which it is required.

03

HOW WE COLLECT INFORMATION

Most personal information is provided directly by you.

This may happen when you make a booking, contact us by email or through the website, submit a merchandise pre-order, telephone us, or communicate with us in relation to a visit.

Some information may also be provided to us through third-party services that you choose to use, such as our online booking provider.

04

WHY WE USE YOUR INFORMATION

We may use personal information to:

Manage and confirm bookings, communicate with you about your visit, answer questions and enquiries, process cancellation or rearrangement requests, prepare merchandise pre-orders, maintain appropriate business records, respond to complaints, protect the security of the website and experience, and meet legal or regulatory obligations.

We do not use personal information for purposes that are incompatible with the reason it was originally collected unless there is a lawful basis for doing so.

05

OUR LAWFUL BASIS FOR USING INFORMATION

UK data-protection law requires us to have a lawful basis whenever we use personal information.

Where information is required to arrange or provide a booked experience, we may process it because it is necessary for the performance of a contract or to take steps at your request before entering into a contract.

In some circumstances we may rely on our legitimate interests, for example in operating, administering and protecting the experience, provided those interests do not override your rights and freedoms.

We may also process information where this is necessary to comply with a legal obligation.

Where consent is the appropriate lawful basis, you may withdraw that consent at any time.

06

BOOKING INFORMATION

Bookings are currently handled using an external online booking service.

Information you provide when booking may therefore be processed by that service in order to complete and manage your reservation.

The booking provider operates under its own privacy policy and terms. We encourage visitors to review those policies when making a booking.

We may receive booking information that is necessary for us to administer your visit, communicate with you, manage cancellations or respond to booking-related enquiries.

07

CONTACT FORMS & ENQUIRIES

If you contact us through the website, by email, telephone or another communication channel, we will use the information you provide to deal with your enquiry.

This may include your name, email address, telephone number and the content of your message.

We will not automatically add you to a marketing mailing list simply because you have contacted us.

08

SHOP PRE-ORDERS

Where merchandise is available for pre-order and collection, we may ask for information such as your name, contact details, visit date, requested products, quantity and preferred payment method.

This information is used to prepare and identify your order when you arrive.

The website does not currently take payment for these collection orders. Payment is made separately when you visit, using the payment methods offered at that time.

09

PHOTOGRAPHS, VIDEO & MEDIA

Visitors are welcome to take personal photographs and video in permitted areas of The Console Room.

On some occasions The Console Room may take photographs or video at special events, launch events or during promotional activity.

Where a person is identifiable, a photograph or recording may constitute personal information.

We will consider the appropriate lawful basis before using identifiable images for promotional, publicity or other purposes and will not rely on the fact that someone has simply made a booking as blanket consent to use their image.

If you have concerns about an identifiable photograph or recording used by The Console Room, please contact us.

10

THIRD-PARTY SERVICES

Our website and visitor experience may use or link to third-party services.

These may include our booking provider, YouTube, Google Maps, Instagram, Amazon and other external websites or platforms.

When you follow a link to, view embedded content from, or otherwise interact with a third-party service, that organisation may process information about you in accordance with its own privacy policy.

The Console Room does not control the privacy practices of independent third-party services.

11

COOKIES & EMBEDDED CONTENT

Websites can use cookies and similar technologies to operate features, remember choices, measure website use or enable content provided by third parties.

Our website contains embedded or linked content including YouTube videos and mapping services. Those services may use cookies or similar technologies when their content is loaded or used.

Where the law requires consent for non-essential cookies or similar technologies, visitors should be given an appropriate choice before those technologies are used.

We may introduce or update cookie controls as the website develops.

12

HOW LONG WE KEEP INFORMATION

We do not intend to keep personal information for longer than it is reasonably required.

The appropriate retention period depends on why the information was collected, whether it remains necessary for that purpose, and whether we need to retain records for legal, accounting, insurance or other legitimate business reasons.

Enquiry information will normally be retained only for as long as reasonably necessary to respond to and manage the enquiry.

Booking and transaction records may need to be retained for longer where required for legitimate business, accounting or legal purposes.

Merchandise pre-order information will normally be kept until the order has been completed and for a reasonable period afterwards where required for administration or record keeping.

13

HOW WE PROTECT INFORMATION

We take reasonable steps to protect personal information against unauthorised access, loss, alteration or disclosure.

Access to personal information should be limited to those who reasonably need it for the operation of The Console Room or to provide relevant services.

No method of internet transmission or electronic storage can be guaranteed to be completely secure, but we aim to use proportionate safeguards appropriate to the information we hold.

14

YOUR DATA PROTECTION RIGHTS

Depending on the circumstances, UK data-protection law may give you rights relating to your personal information.

These can include the right to ask for access to your personal information, request correction of inaccurate information, request deletion in certain circumstances, ask us to restrict how information is used, object to certain processing, and obtain information about how your data is being used.

Not every right applies in every situation, and some rights are subject to legal conditions or exemptions.

To exercise a data-protection right, please contact us at:

theconsoleroom1@gmail.com

15

PRIVACY COMPLAINTS

If you are unhappy about how we have handled your personal information, please contact us so that we have an opportunity to investigate and respond.

Privacy complaints can be submitted electronically by emailing:

theconsoleroom1@gmail.com

We will acknowledge a data-protection complaint within 30 days and will investigate and respond without undue delay.

You also have the right to raise concerns with the Information Commissioner's Office (ICO), the UK's independent data-protection regulator.

Further information about making a complaint is available directly from the ICO.

16

CHILDREN'S INFORMATION

The Console Room is a family visitor experience, but the website is not intended to collect personal information directly from children unnecessarily.

Where information about a child is required in connection with a booking or visit, it should normally be provided by or with the involvement of a parent, guardian or responsible adult.

We will take additional care where personal information relating to children is involved.

17

CHANGES TO THIS PRIVACY POLICY

We may update this Privacy Policy from time to time to reflect changes to the website, visitor experience, services we use or applicable data-protection requirements.

The current version will be published on this page and the date at the top will show when it was last updated.
